(We do not engage in aggressive advertising, and we will never send you marketing messages without an opt-in.)

This means that information you submit through our site (like contact form entries) and data collected by the site (like analytics) may be stored on Wix’s servers and processed by Wix on our behalf. Wix is a reputable website services provider that maintains its own privacy and security standards; they only access your information as needed to host our site and related services. We also use Google LLC for analytics services (Google Analytics). Google may process usage data (as described in the Cookies section) on our behalf for the purpose of compiling reports. These service providers are bound by agreements that require them to protect your data and use it only for the services they are providing to us.

  • Business Operations and Professionals: We might share information with our professional advisors (for example, accountants, auditors, lawyers) if necessary for legal compliance or business operations. For instance, if we need to analyze our communications for improving customer service, or if an auditor needs to verify our data management, they might access relevant data under strict confidentiality.

  • Business Transfers: In the unlikely event that Dialogix.ai is involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of assets, or transition of service to another provider, your information may be transferred as part of that transaction. Should this happen, we will ensure the new owner continues to honor the commitments we’ve made in this Policy regarding your personal data, or we will notify you and obtain any necessary consents.

Otherwise, we do not share your personal data with third parties for their own marketing or advertising purposes. All the third parties who might receive data (Wix, Google, etc.) are processing it on behalf of Dialogix.ai for the uses described in this Policy. If in the future we integrate any additional third-party tools that collect personal information (for example, a live chat service or a newsletter mailing service), we will update this Policy to reflect those services and ensure appropriate consent is obtained.

International Data Transfers

Dialogix.ai is based in Canada (Montreal, Quebec), and our website is accessible globally. When you submit information to us or interact with our site, your data may be transferred to and stored on servers located in countries other than your own. In particular, our website is hosted by Wix, which may use servers in the United States or other countries, and we use Google Analytics, whose servers are primarily in the United States. This means your personal information (e.g., contact details, cookies) might be transmitted to or stored in Canada, the United States, or other jurisdictions.

We understand that different countries have different data protection laws. If you are visiting from the European Economic Area (EEA) or United Kingdom, please note that the European Commission has determined that Canada’s privacy laws (for commercial organizations) provide an “adequate” level of data protection, which means personal data can flow from the EU/UK to Canada freely. For any transfers from the EU/EEA to the United States or other countries that may not have an adequacy decision, we rely on appropriate safeguards to protect your data. These may include standard contractual data protection clauses approved by the EU (so-called “Standard Contractual Clauses”) or ensuring our service providers (like Google) are certified under frameworks like the EU-U.S. Data Privacy Framework or similar mechanisms. We only transfer the minimum data necessary and in compliance with the requirements of applicable law, including Quebec’s Law 25 which requires that any personal data transferred outside Quebec remains adequately protected.

Regardless of where your data is processed, we will take steps to ensure that your privacy rights continue to be upheld as described in this Policy. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which we collected it, and to comply with legal or reporting obligations.

  • Contact Form Data: If you contact us, we will keep your message and our response for our records. Typically, we may retain email correspondence or form submissions for up to 24 months (2 years) in case you have follow-up questions or to reference past communications when providing you with service. If you become a client or engage in business with us, we may retain communications longer as part of our client records. We will delete earlier upon request, provided we are not required by law or legitimate business interests to retain it.

  • Analytics Data: Data collected through Google Analytics and similar tools is retained as per Google’s settings. We have configured Google Analytics to retain anonymized visitor data for 14 months. Analytics reports may be stored in aggregate form (without personal identifiers) for longer, to identify long-term trends, but this aggregated data cannot be linked back to any individual.

  • Cookies: Each cookie has its own retention period. Some cookies (like session cookies) are temporary and expire when you close your browser. Others (like preferences or analytics cookies) may persist for a set period (for example, an analytics cookie might persist for 6 or 12 months unless you clear it). We outline the general lifespan of cookies in the cookie banner or settings interface. You can delete cookies from your browser at any time, which removes those stored on your device.

  • Marketing Data: If you have opted into a newsletter or marketing updates (for instance, by explicitly signing up), we will retain your contact information until you unsubscribe or ask us to delete it. Unsubscribing from communications will immediately remove you from our active mailing list, though we may keep a record of your request to ensure we respect it in the future.

  • Legal Retention: We may need to retain certain information for longer if required by law. For example, if a transaction occurs, we might retain invoicing information for tax purposes for a certain number of years. Also, if relevant to an investigation of misuse or a legal dispute, we would keep the necessary data until the issue is resolved.

Once the retention period expires or the purpose for collection has been fulfilled, we will securely dispose of or anonymize your personal information. If data is anonymized (stripped of personal identifiers), it may be retained indefinitely for statistical or research purposes without further notice to you, since it no longer constitutes personal information.

Data Security

We take the security of your personal information seriously. Dialogix.ai (through Wix’s hosting infrastructure) employs a variety of technical and organizational measures to protect your data from unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption: Our website is served over HTTPS, which means data transmitted between your browser and our site is encrypted in transit using SSL/TLS. (Look for the padlock icon in your browser’s address bar.) Any sensitive communications are thus protected from eavesdropping. Wix also encrypts stored data where applicable and uses secure protocols for data transfer.

  • Access Controls: Personal data is accessible only to those in our organization or our service providers who need it to perform their duties (for example, our support team or the site administrator). Wix restricts access to its servers and databases to authorized personnel. We ensure that any staff or contractors at Dialogix.ai who handle personal information are trained in confidentiality and data protection.

  • Network & System Security: Wix provides a secure hosting environment with firewalls, intrusion detection systems, and regular security monitoring. They also regularly update and patch their systems to guard against vulnerabilities. We rely on their enterprise-grade security features to keep the platform safe. Additionally, Google Analytics data is protected by Google’s own security protocols.

  • Data Minimization: We limit the personal data we collect to only what is necessary. By having less data, the risk of severe impact from any breach is reduced. We also anonymize or pseudonymize data where feasible (for instance, using IP anonymization for analytics) to protect your identity.

  • Monitoring and Testing: Wix continuously monitors their infrastructure for potential threats. If any unusual activity is detected, they have measures to respond promptly. We keep our site’s plugins and integrations up-to-date and follow Wix’s best practices for security. Regular backups are performed so data can be restored if needed.

  • Breach Response: In the unlikely event of a data breach or security incident affecting your personal information, we will notify you and the appropriate authorities as required by law (for example, we will follow Quebec’s Law 25 and any GDPR/CCPA breach notification obligations). We have a plan in place to contain and investigate any security issues, should they arise.

Please note that no website or internet transmission is completely secure. While we strive to protect your information, we cannot guarantee absolute security. It’s important for you as well to use strong passwords and be cautious with the information you share. If you have reason to believe that your interaction with us is no longer secure (for example, if you suspect your personal data has been compromised), please contact us immediately.

Your Rights and Choices

You have rights regarding your personal information, and we are committed to honoring them. Depending on the laws that apply to you (which may depend on your country or state of residence), your rights may include:

  • Right to Access: You can request confirmation of whether we are processing your personal information, and if so, ask for a copy of the data we hold about you. We will provide you with the relevant information in a commonly used format. For example, you can ask us to see what personal details we have collected through the contact form or via cookies linked to you.

  • Right to Rectification: If you believe that any personal information we have about you is incorrect or incomplete (for instance, a misspelled name or an outdated email address), you have the right to request that we correct or update it. We encourage you to keep your information current and will make corrections as needed.

  • Right to Deletion: You may request that we delete the personal information we hold about you. This is sometimes called the “right to be forgotten.” For example, if you submitted a contact inquiry and you want us to erase that correspondence and your contact details from our records, you can ask us to do so. We will honor deletion requests to the extent required by law. Keep in mind there are some exceptions – we might retain certain information if we have a legal obligation (e.g., record-keeping requirements) or a compelling legitimate interest to keep it (but we will let you know if such an exception applies).

For instance, if you consented to analytics or marketing cookies, you can change your mind later and withdraw consent by updating your cookie settings (or by using the “Do Not Sell/Share” link for California, see below). Withdrawing consent will not affect the lawfulness of any processing we did prior to your withdrawal.

  • Right to Data Portability: For data you provided to us directly, you have the right to request a portable copy in a machine-readable format. For example, if you want a copy of the information you submitted via our contact form, we can provide that to you in a structured format (like a CSV text file) so that you could, if you wanted, reuse it or provide it to another service.

  • Right to Restrict or Object (EU/UK and similar jurisdictions): If you are in the European Union, United Kingdom, or another region with similar laws, you have the right to object to certain processing activities or ask us to restrict processing. For example, you can object to processing based on our legitimate interests (like certain analytics) if you feel it impacts your rights. You can also request that we temporarily limit processing your data (for instance, while you contest the accuracy of your data or an objection you raised is under consideration).

  • Right Not to be Subject to Automated Decisions: We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects. If that changes, and you were subject to an automated decision, you would have the right to request human review of that decision.

  • Right to Non-Discrimination: If you exercise any of your privacy rights under laws like the CCPA, we will not treat you differently. In other words, we will not deny you our services, give you a different level of service, or charge you a different price just because you exercised your privacy rights. Our website content and pricing (if any) will remain the same regardless of your privacy choices.

  • Right to Lodge a Complaint: We hope to resolve any privacy concerns by working with you directly, but you also have the right to complain to a privacy regulator if you believe we have violated your rights or applicable privacy laws. For Quebec residents, the regulator is the Commission d’accès à l’information du Québec (CAI). Canadian residents elsewhere can contact the Office of the Privacy Commissioner of Canada. EU/EEA residents have the right to complain to their national Data Protection Authority. California residents can contact the California Privacy Protection Agency (CPPA) or the California Attorney General’s office. We can provide guidance on how to contact these authorities if needed.

Exercising Your Rights: To exercise any of your rights, please contact us at the email or mailing address in the Contact section below. Kindly include your name and a clear description of your request. We may need to verify your identity before fulfilling certain requests (to protect your privacy and that of others). For example, if you request access to your data, we might ask you to confirm details we have on file to ensure you are the rightful person. We will respond to your request within the timeframe required by law. In general, we will aim to respond within 30 days for most requests. If we need more time (due to complexity or number of requests), we will inform you of the reason and extension period.

For California residents: if you prefer, you may designate an authorized agent to make a request on your behalf. We will require proof that the agent is authorized (such as a written permission from you). As we operate exclusively online, California residents can submit requests via email (we do not require a postal or phone request, although you may also write to us). Our response to a verifiable request will cover the 12-month period preceding the request (or longer, if you specifically request data beyond 12 months and the law allows it). We will provide either the information requested or an explanation of why we cannot comply (if applicable), in a readily usable format.

California Privacy Notice (for California Residents)

If you are a resident of California, this section provides additional information required under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), about the categories of personal information we collect and your rights.

Categories of Personal Information Collected: In the past 12 months, we have collected the following categories of personal information from California consumers through our website:

  • Identifiers: Such as your name, email address, and IP address. We collect these when you fill out the contact form (you provide your name and email) and via cookies or logs (your device’s IP).

  • Internet or Network Activity: Such as your interactions with our website. This includes browsing history on our site, pages viewed, time spent, and other analytics data collected via cookies and similar technologies.

  • Geolocation Data: We do not directly collect precise GPS location, but approximate location may be inferred from your IP address (e.g., knowing the city or region you are visiting from).   • Other Electronic Information: If you interacted with email communications from us (for example, if we send a follow-up and you open or click it), we might receive a confirmation via our email service, but we currently do not run an email newsletter, so this is minimal.

We do not collect sensitive personal information (as defined under CPRA) such as government ID numbers, financial account info, precise geolocation, racial or ethnic origin, biometric data, health information, or information about sex life or orientation. We also do not intentionally collect information from minors under 16 years of age.

Purposes for Collecting Personal Information: We collect and use the above information for the business and commercial purposes described in Section 3 (How We Use Your Information) of this Policy. In summary, these purposes include: providing and improving our services (e.g., responding to your inquiries, maintaining and optimizing the website), performing analytics, personalizing user experience, marketing (with consent), ensuring security and fraud prevention, and complying with legal obligations.

Sources of Personal Information: We obtain the categories of personal information listed above directly from you (for example, information you enter into the contact form) and indirectly from your interactions with our site (for example, through cookies and web server logs as you browse). We do not purchase personal data from data brokers or third parties.

Disclosure of Personal Information: We may disclose (and in the last 12 months have disclosed) the above categories of personal information to third parties for our operational business purposes. The categories of third parties to whom we disclose information include:

  • Service providers that host our website and store data (e.g., Wix, which has access to identifiers and internet activity info in order to provide hosting and analytics services).

  • Analytics providers (e.g., Google Analytics, which receives internet/network activity information via its cookies on our site).

  • Other vendors or consultants who might need the data to perform a function for us (for example, an IT security consultant might have temporary access when troubleshooting an issue). All such parties are bound by contracts not to use your data for any purpose other than providing the service to us.

We do not sell personal information for money. We also do not “share” personal information as defined by the CPRA (meaning we do not disclose personal info to third parties for cross-context behavioral advertising) except in the context of analytics or potential marketing cookies. If our use of analytics/marketing cookies is interpreted as “sharing” (since Google or another third party might use the data to improve their services or for aggregated ad stats), you have the right to opt out of that sharing. We provide tools for you to opt out (see Do Not Sell or Share below).

California Consumer Rights: If you are a California resident, you have the following rights with respect to your personal information:

  • Right to Know: You have the right to request that we disclose what personal information we have collected about you, including the specific pieces of information, the categories of personal information, the categories of sources, the business or commercial purposes for collection, and the categories of third parties with whom we share your information. (We believe the majority of this is outlined in this Policy, but we will provide it in a report form upon request.)

  • Right to Delete: You have the right to request that we delete personal information we collected from you, subject to certain exceptions (such as if the information is required to complete a transaction or for legal compliance).

  • Right to Correct: You have the right to request correction of any inaccurate personal information that we maintain about you.

  • Right to Opt-Out of Sale or Sharing: You have the right to opt out of the sale of your personal information or the sharing of your personal information for targeted advertising. As noted above, we do not sell data for money, and we only share data for limited purposes (analytics/advertising). Still, we honor opt-out requests – see the “Do Not Sell or Share My Personal Information” option below.

  • Right to Limit Use of Sensitive Information: (Applicable if we collected sensitive personal info, which we do not; not applicable in our case since we do not collect sensitive info as defined by CCPA.)

  • Right to Non-Discrimination: We will not discriminate against you for exercising any of these rights. This means we won’t deny you our services or provide a different quality of service just because you made a privacy request.

Exercising Your California Rights: To exercise your Right to Know, Delete, or Correct, you (or your authorized agent) may contact us at admin@dialogix.ai with the subject line “California Privacy Rights Request” and let us know which right you wish to exercise and the scope of your request. We will need to verify your identity — typically by confirming information we already have (like sending a confirmation to your email on file) or asking for details about your interactions with us. We will respond to verified requests within 45 days as required by law (or notify you if we need an extension).

Do Not Sell or Share My Personal Information: We have a “Do Not Sell or Share” option available on our site to allow California residents (and any user, for that matter) to opt out of any sharing of data for analytics or advertising. You can do this by using the cookie banner settings:

  • If you opt out of Analytics and Marketing cookies via our cookie settings (by toggling them off and saving your preferences), this serves as an opt-out of any sale or sharing of personal info through those cookies. We will not load those third-party scripts for your browser.

  • Additionally, you can send us an email at admin@dialogix.ai with the subject “Do Not Sell My Info” or “Do Not Share My Info,” and we will ensure that any marketing/analytics data associated with your visit is no longer shared with third parties. We honor browser-based Global Privacy Control (GPC) signals as well. If your browser sends a GPC signal, our site will treat it as a valid opt-out of cookie-based data sharing, and we will automatically disable non-essential cookies for you.

By providing these mechanisms, we aim to give you control over your personal information in compliance with CCPA. Again, we reiterate that we do not monetize your data, but transparency and choice are core to our values.
